Under the direct supervision of the Clinic Manager, answer clinic phones, register and discharge patients, perform charge entry and perform various clerical duties.

Duties:

Greet and check-in patients, using the physician practice management scheduling, billing and collection system. Obtain patient demographic and other information, and enter into the physician practice management system. Verify demographic information for all patients. Assist medical and clinic staff with triaging patients, explain payment policies and expedite rooming patients in exam rooms and treatment areas.

Collect patient co-pays, deductibles and payments for services, strictly following the Clinic's payment policies. (For example, the receptionist is responsible explaining payment policies and for collection payment in full at the time of service for self-pay patients.)

Enter correct information into the physician practice management computer system and print out appropriate paperwork.

Prepare charts that include all the appropriate paperwork. Include superbills (“fee tickets”) with patient charts in connection with the charge capture process by the Clinic's medical and clinical providers. Print and include client “protocols” with patient registration information in the case of client “occupational health services.”

Schedule patients when appropriate.

Answer phones quickly (by second ring) and courteously, using approved telephone techniques and etiquette. Telephone skills must be exceptional. Record all messages for physicians and other staff.

Filing/Scanning. Ensure that all forms are complete and charges are correct and complete. Perform clerical duties (e.g., photocopying, scanning, typing, forms, mailing, faxing, etc.)

Receipt all cash received, according to Clinic's procedures. Reconcile daily batches and receipts per policies and procedures.

Maintain clean, neat waiting area. Periodically check the Clinic’s restrooms for cleanliness and supplies. Stock supplies at front desk and other areas of the Clinic as instructed by Manager or Supervisor.

Assist Physicians and Medical Assistants as needed.

Perform patient “call backs” as requested by Manager, Supervisor and/or Physician. Reminder calls to patients regarding follow up office visits and scheduled appointments.

Perform general cleaning duties, including: clean and restock treatment rooms and restrooms; clean spills on floors; clean break area, continual cleaning of the general area, clean up after yourself, vacuum, straighten and tidy reception area frequently, and spot clean any surface in need of immediate cleaning, including the outside of the clinic.

Attend mandatory staff meetings.

Qualifications:

High school diploma or general education degree (“GED”); and at least six months (preferably 12 months) related experience (e.g., health care setting, customer service, etc.) and/or training; or equivalent combination of education and experience. Experience with medical terminology (e.g., CPT and ICD9 codes) and understanding of medical insurance process preferred and extremely helpful. Must understand or quickly learn about the differences between and among self-pay patients, insurance patients, Medicare patients, CHAMPUS patients, workers’ compensation patients, and occupational medicine patients (e.g., drug screens and employee physicals), etc.

Must respond courteously, sympathetically and maturely to patient needs. Must be neat and professional in appearance. Detail oriented and well organized. Computer literate (i.e., be familiar with a PC and basic software, such as Microsoft Windows, Microsoft Word, etc.) Bilingual may be required at certain locations or during certain shifts. Must be able to work under pressure and in stressful situations and must be able to work quickly when business conditions warrant.
