Description:

Duties:

1. Coordinates appointments with the Stylists, Consultants and Ventilators entering details in the “scheduler”. 2. Fills stylists schedule to effectively maximize utilization of time available, by avoiding gaps, scheduling services properly, and avoiding “hollow” schedules. 3. Assembles weekly corporate package according to guidelines established, and ensures all documentation is complete and accurate in conjunction with Center Manager. 4. Is aware of the time consumed by each client, advising respective parties of delayed schedules, and managing the expectations of those awaiting appointments. 5. Is the point of origin for most clients, carrying out receptionist duties and directing clients and visitors to the proper room and corporate (center) staff members. 6. Places (and fills) orders on behalf of clients, knowing the inventory of material and products on hand; mindful of hazardous shipments and proper shipping protocol. 7. Will carry out detailed audits on a required schedule of material and products in the center. 8. Assist with special projects such as promotional flyers or mailers for the consultants. 9. Handles the invoicing of clients for the center, collecting fees before service is provided, handling payments and ensures bank deposits are made daily. 10. Responsible for the stocking, cleanliness and organization of the client waiting areas. 11. Maintains a neat and organized administrative workspace. 12. Promptly answers phone lines and direct inquiry to appropriate party prior to placing on hold.

Qualifications:

• College diploma preferred. • One or more years of administrative assistant duties. • Ability to work independently. • Sensitive to the needs of clients, and the work load of colleagues. • Skilled in computer usage with emphasis on corporate programs, excel spreadsheets, and internet navigation and use.
