Description:

This position’s primary function is to support the President of Seco Tools Inc. in the completion of day to day business, preparing for Board and other Group meetings, and all other administrative support. In addition, this position will provide international mobility support including; visa processing, documents required for visiting foreign nationals or NAFTA employee’s going abroad, passport extensions, etc.

Duties:

Key Responsibilities

Develop, maintain and communicate a central calendar of NAFTA corporate meetings and events that is coordinated with Group calendar

•Provide administrative support
•Manage President’s calendar
•Receive and screen, mail, phone calls, and e-mails
•Handle confidential information in a timely and sensitive manner
•Organize and maintain workflow for office of the President

Attend Corporate meetings to take minutes, document open items and actions resulting from the meeting

Maintain accurate files / records of legal documents (customer agreements, confidentiality agreements, personnel records and communication)

Track, coordinate and follow through with employees, departments, vendors, etc. on requests from the Office of the President to ensure deadlines and milestones are achieved

Prepare general communications on behalf of the President

Maintain good personal relationships with key Seco Group personnel

Consolidate monthly department reporting into comprehensive Seco NAFTA reporting for Group

Coordination and preparation of Board and Group meeting presentations

Provide Seco with global mobility support;
•Visa preparation and processing
•Passport renewal
•Green Card processing and renewal
•Arrange international travel for employees and visitors
•Relocation of expatiates

Coordination of international travel

Qualifications:

Minimum Requirements:
• Experience supporting executive level positions in a global company
• Proven knowledge of immigration matters and visa processing
• Strong inter-personal and diplomatic skills
• Strong initiative, proactive and able to work independently to meet requirements of position
• Self-directed
• Proven organizational skills
